ArchiXL considers the protection of personal data important. We respect your privacy and therefore ensure that your personal data is always treated confidentially and that we comply with applicable privacy laws. We also consider it important to communicate this clearly. In this privacy statement, we explain how we process your personal data.

Who are we?

ArchiXL is an independent consultancy specializing in enterprise architecture, information architecture, and knowledge management. We advise organizations on operationalizing their strategy and provide products and services in the field of architecture, (meta)data, and knowledge management.

How do we obtain your personal data?

When we collect and use your personal data, this is usually because you have contacted us yourself and provided us with information about yourself, or because you use one of our platform services. For example, when you use BegrippenXL, ArchiMedes, or WikiXL, send us a message via our website, contact us by phone or email, submit a ticket to our support department, enter into a contract with us or commission us to carry out an assignment, or apply for a position with us.

What personal data do we process?

We may process the following personal data about you:

  • Contact details (such as your email address and telephone number);
  • Organization details, including Chamber of Commerce (KVK) number;
  • Name, address and place of residence;
  • Signature;
  • Account details / usernames for platform services and support;
  • IP address;
  • Information from cookies and similar technologies.

What do we process your personal data for?

There are various purposes for which we may process your personal data. We may process your personal data in the following situations:

  • You visit the ArchiXL website or a site on our platform
    • When you visit our website, we process your personal data through cookies and traffic data (IP addresses and logs). We use functional cookies to ensure that the website works properly. We also use a web analytics program. We do not use tracking cookies for this purpose. If you have an account for one or more of our platform services, we also process your account details.

  • You call, email, or send us a letter or other message
    • You can contact ArchiXL in various ways. For example, you can call us, send an email to a specific email address, send a letter to our postal address, send a message via the website, or submit a support request through our support system. When you contact us, we process your personal data to handle your request or message and respond to you.

  • You enter into a business agreement with ArchiXL
    • We process the personal data necessary to perform the agreement, such as your name and contact details, information about your organization, your position, and your signature.

  • You apply for a position at ArchiXL
    • We process personal data relating to your application, such as your name and contact details; your CV, work experience, skills, and education; information obtained from interviews, assessments, and references; and any information you voluntarily provide to us. During the application process, we may need to process sensitive personal data, such as salary information and the results of a reference check.
    • We use your personal data to process, assess, and manage your application; contact you; schedule and conduct interviews; address employment-related and contractual matters; and check your references.
    • If you join ArchiXL, we include relevant personal data in your personnel file. If you are not hired, we retain your personal data for no longer than 4 weeks after the completion of the application process, unless you have given us permission to retain your data for a longer period.

  • You exercise your privacy rights
    • If you exercise one of your privacy rights and therefore send ArchiXL a request by email or letter, such as a request for access to your personal data, we process the personal data included in your request, such as your name, address, telephone number, and email address. We use this information to respond to your request. We may also ask you to confirm your identity. In that case, we request additional information to ensure that we are dealing with the correct person.

On what legal bases do we process your personal data?

Any organization that processes personal data may only do so if there is a legal basis for doing so. We process personal data for the following legal grounds:

  • Performance of a contract
  • Legitimate interest
  • Consent

If we process your personal data based on your consent, you can withdraw your consent at any time. From that moment onward, we will no longer process your personal data, unless there is another legal basis for processing your data.

How long do we retain your personal data?

We do not retain your personal data longer than necessary for the purpose for which we process it. Once we no longer need your personal data for that purpose, we will delete it. However, in some cases, we are legally required to retain your data for a longer period.

With whom may we share your personal data?

In principle, we do not share personal data with other (third) parties. We only do so when it is genuinely necessary, for example to fulfill our legal or contractual obligations, or when this is required for investigative purposes following cybercrime.

Who within ArchiXL has access to your personal data?

Within ArchiXL, employees may access personal data if they are authorized to do so. Employees who have access to your personal data are also bound by confidentiality obligations.

How do we protect your personal data?

We take both technical and organizational measures to protect the personal data we process, for example to prevent your data from being lost. We do this in accordance with applicable legal requirements and guidelines, such as the General Data Protection Regulation (GDPR).

One example of a technical measure is that your data is transmitted over a secure connection when you use an online form on the ArchiXL website. Your data is also encrypted during transmission. This means that your data cannot be read if it were to fall into the wrong hands.
